4. REMOVAL OF ADC EXECUTIVES 2.0 THE APPLIED DEGREE COUNCIL CHARTER
2.1 Purpose The purpose of the Applied Degree Council (ADC) is to:
1) Represent applied degree students of Centennial College to the college, community and prospective students 2) Promote Applied Research to re-establish the image of Centennial College as an innovative, cutting-edge institution
3) Advance student education beyond in-class lectures and tutorials and help create an environment where applied research is possible
4) Provide a social environment where all degree students, from various programs and years, can interact with each other
5) Obtain recognition and strengthen the reputation of Centennial College’s applied degrees in the relevant industries.
2.2 Membership
All members of the Centennial College Student Association Inc. (CCSAI) at Centennial College are eligible for membership.
2.3 Elections
Elections of the club executive begin in the last week of March. The outgoing club executive assembly is responsible for running the elections.
In order to assure equal distribution of responsibility among members from all years, the positions of President and Vice-President cannot both be filled by students from the same year.
Any club members who qualify for a position (see Section 3 for position descriptions) may nominate themselves with at least 5 signatures from students enrolled in an applied degree program. All club members may vote with the exception of the Faculty Advisor. Votes will be cast in a secret ballot, with the possibility of electronic polling in the future.
2.4 Meetings
2.4.1 Executive Assembly
There must be at least two meetings of the executive assembly each semester. A forty-eight (48) hours notice of the meetings must be given to all executives and class representatives who are obligated to attend. CCSAI club liaisons must be invited to all executive assembly meetings. Members of the executive assembly with the exception of Class Representatives and the Faculty Advisor are allowed to vote on any issues brought to the meetings.
2.4.2 General Assembly
There must be at least one general meeting each school year. At least one (1) meeting should be scheduled in the winter semester, before the election process for a new executive assembly. All efforts should be taken to avoid conflicts with midterms or important deadlines (e.g. design projects). The Treasurer must present a statement of the club’s financial activities for the year. The other executives should present a brief overview of their activities and accomplishments for the year, as well as any outstanding problems. CCSAI club liaisons must be invited to all general assembly meetings. All club members have voting privileges at a general meeting with the exception of the Faculty Advisor. A seven (7) day notice of the meeting should be given to all students and a method for adding items to the agenda must be provided.
2.5 Finances
The signing officers of the club will be the President and the Treasurer.
The Treasurer will keep detailed, accurate and up-to-date records of all financial transactions. These records can be inspected by any member with one week’s notice. The executive will prepare an annual budget, including projected revenues and expenses, to be approved at the last winter executive meeting. Approval of the budget shall be considered to be confirmation of all spending within the year which will be accessible by any member with one week’s notice.
2.6 Applied Research (ADC Labs)
The goal of ADC and ADC Labs is to advance student education beyond lectures and tutorials and nurture the research and innovation process in the college community.
It is believed that more innovation at the college level will increase the overall quality of education and enhance the learning experience for students. Through research, Centennial College can make itself well known to Canada and the World as an organization that believes in higher learning not just for its students, but also for its faculty.
To guarantee the validity of each venture, all projects must first go through a majority (51%) executive assembly vote to be approved. The College regulatory bodies are then informed of the proposal and proper action is taken to attain their approval.
Limited funding is available for research projects. A detailed summary of requirements and a presentation to the executive assembly will be required before any funding is released.
2.7 Amendments to the Constitution A 2/3rds majority at an executive meeting is necessary for any amendment to the constitution. A forty-eight (48) hours notice of the amendment must be given to all executives prior to the meeting. Amendments are incorporated into the constitution once a year, at the time of ratification.
3. EXECUTIVE ASSEMBLY
3.1 President The President must be enrolled in an applied degree program offered by Centennial College. The student should be in acceptable academic standing (overall GPA >= 2.5) and must demonstrate strong leadership, teamwork, problem solving and organizational skills.
3.1.1 Responsibilities Main duties: • Provide visionary direction for the Applied Degree Council • Responsible for all of the club’s actions • Direct the club in an organized manner, ensuring that it moves towards achieving its initial purpose • To serve as the liaison between the School of Engineering Technology and Applied Science (SETAS) and the undergraduate applied degree students • Official club representative to the CCSAI • Attend all CCSAI club committee meetings • Attend CCSAI President’s Meeting at the beginning of each semester Other duties: • Represent the applied degree student body at events outside of the college • Authorize and oversee all ADC events • Cooperate with other club Presidents and Executives for joint events
3.2 Vice-President The Vice President must be enrolled in an applied degree program offered by Centennial College. The student should be in acceptable academic standing (overall GPA >= 2.5) and must demonstrate strong leadership, teamwork, problem solving and organizational skills.
3.2.1 Responsibilities Main duties: • Perform duty of Acting-President in emergencies when the President is unavailable • Assist the President with any and all activities relating to the council • Inform the President of any ADC related activities taking place • Oversee the development of the ADC webpage • In consultation with the entire executive assembly, create, edit and remove policies as required • Formulate and organize new events and update current events
Other duties: • Assist the Publicity Director to educate the college community about applied degree programs
3.3 Chairperson The Chairperson must be enrolled in an applied degree program offered by Centennial College. The student should be in acceptable academic standing (overall GPA >= 2.5) and must demonstrate leadership, analytical and organizational skills.
3.3.1 Responsibilities Main duties: • Coordinate all executive and general assembly meetings • Responsible for setting agendas and ensuring all items are carried out • Mediate discussions during in meetings
Other duties • Work with Class Representatives in order to resolve any issues • In co-ordination with the Secretary and Publicity Director, maximize attendance at meetings and events • Assist the Secretary in composing letters and educational material
3.4 Treasurer The Treasurer must be enrolled in an applied degree program offered by Centennial College. The student should be in acceptable academic standing (GPA >= 2.5) and must demonstrate strong arithmetic, analytical and organizational skills.
3.4.1 Responsibilities Main duties: • Maintain an updated account of all transactions made and received • Be financially accountable for all money spent and collected • Recruit new sponsors and renew membership with existing sponsors • Present the financial situation of the club at every meeting • Ensure that all expenses are first approved by the Vice-President and the President
Other duties • At the end of the year, organize all transactions in a month to month basis so that the next executive assembly can organize its own budget • Send out letters/emails to sponsors with the help of the Secretary and Publicity Director
3.5 Secretary The Secretary must be enrolled in an applied degree program offered by Centennial College. The student should be in acceptable academic standing (GPA >= 2.5) and must demonstrate strong communication and organizational skills.
3.5.1 Responsibilities Main duties: • Record minutes of each general and executive assembly meeting • Submit meeting reports to CCSAI within five (5) business days • Digitize and organize minutes to assure easy access
Other duties • Compose letters, memorandums and educational material to be used by ADC around campus • Assist the Treasurer to secure funding by sharing workload related to paperwork • Assist the Publicity Director with the creation of promotional material 3.6 Publicity Director The Publicity Director must be enrolled in an applied degree program offered by Centennial College. The student should be in acceptable academic standing (GPA >= 2.5) and must demonstrate strong creativity, communication and leadership skills.
3.6.1 Responsibilities Main duties: • Educate college community about presence of applied degrees • Promote all events held through verbal and written communication • Promote Applied Research to increase exposure of current and future projects • Work with other club Publicity Directors for joint events • Insure all members are informed of upcoming meetings
Other duties • In conjunction with the Secretary, create promotional material for the club and events to be held • Provide copies of promotional material to CCSAI before posting • Accompany the President to events to meet prospective students
3.7 Class Representatives Class Representatives must be enrolled in an applied degree program offered by Centennial College. The student(s) should demonstrate strong leadership and organizational skills. Every applied degree program year will elect a representative in order to put forth any concerns that directly affect their classes, with the exception of the respective years from which the President and the Vice-President are elected.

Main duties: • Answer college and/or program related questions asked by students • Actively interact with students from their respective year and record & forward any comments, concerns and unanswered questions • Inform respective classes of any developments occurring in ADC • Report directly to the Chairperson to inform him/her of any item(s) that need to be added to the agenda of an upcoming meeting • Forward any ideas of events that are proposed by students
3.8 Honourary Positions
3.8.1 Faculty Advisor The purpose of this position is to guide the student members of the council with academic and research direction provided by a Professor. A potential advisor is appointed by a newly elected executive assembly and advisors may be reappointed. This position does not entail the individual to any voting privileges. The advisor may be invited to general and executive assembly meetings when requested by a majority vote (51%) by an executive assembly. A potential candidate would help expand the influence of the council among students, other faculty members and prospective students. The ideal candidate would also help members secure funding for events and research activities.
4. REMOVAL OF ADC EXECUTIVES
A member of the executive assembly may be removed from the club for the following reasons: 1. If duties are not carried out 2. If the member undertakes a duty that has been disapproved by the 2/3rds majority of the club 3. For any other act that is judged as inappropriate by the 2/3rds majority of the club
If any of the aforementioned conditions occur, there are three steps required for the removal: 1. The member must receive a verbal warning by the President 2. The member must receive written notice of warning 3. If the problem persists, the member may be removed with a 2/3rds majority vote Only executive assembly members (no Class Representatives) are allowed to vote when removing an ADC executive member. All executive members must vote at the same time.
In the event of a dismissal: 1. If the executive assembly has been in office for less than one (1) month, another election for the available position will be held 2.
